Focus requires that we learn to differentiate between the “urgent” and the “crucial” tasks. Urgent tasks are distractions that trigger us, albeit subconsciously, to delay the important projects. And it’s the crucial tasks that lead us to our goals and objectives.
Write down the essential tasks you have set hours for during the day. Responding to urgent emails, answering the telephone, or checking your pager can all be categorized as urgent tasks. Taking the urgency out of the urgent tasks makes you conscious that they weren’t life-threateningly urgent after all but rather instant distractions. Block out a time in your daily schedule to attend to the urgent matters and become more attuned to the distractions..
Result-driven projects will need your total focus. If you have been working on a laptop or computer, re-train your eyes to concentrate on middle to lengthy distance objects on the screen. Clear your desk of everything except the important project you are working on. Visualize the whole procedure and how it will appear when it is completed.
Keep the image at the front of your mind. Shut out all distractions…Imagine your meeting or project as you would like it to go. Minimize being interrupted by muting your e-mail client and notification system. Turn off your cell telephone or shift the ring tone to “silent”. Close the programs on your laptop or computer that trigger you and to turn into distracted. Close the door to your office.
It’s critical that you effectively separate so-called tasks from your most important priorities. Do not give way to the tyranny of the urgent.. So let’s take a look at how we can focus on your priorities.
- 1. You can do it now. If it is important and it needs your attention right away. Make the decision to get started today. Take prompt action and you’ll end up with the success of a project. Don’t make excuses.
- 2. Delegate it. Ask yourself who else could do this task? Of course, these are the tasks that need to be done, but you are not necessarily the person that should do them.
- 3. Defer it. These are issues that you do need to work on but can genuinely be deferred. Schedule a specific time to handle this type of work at a later date.
- 4. Dump it. “I choose not to do this.” There’s something exhilarating that happens when you come to that happy place of understanding… Not all tasks are created equal, and not all tasks need to be done by you.
Setting new boundaries that you do not cross is critical for priority focus. And then of course you have to decide clearly what those boundaries are at home and in the office. The most important people in your life need to understand why you are setting new parameters and making these improvements. Ask for their support to keep you on track. It’s easy to get into trouble in your business because you spend too much time on things that you don’t know much about. So as you refine your talent stick to the things that you know best.
When you stay within the boundaries of what you know best. It requires a new level of self-discipline. This means choosing to spend time on activities every day that will move you closer to your goal. Ask yourself, at regular intervals, what am I doing right now…is it helping me to achieve my goals?
This can be quite difficult and will constantly require you to refocus to avoid drifting away into some unimportant activity.
